Summary of Job Duties:
This role is responsible for the daily execution, tracking, and reconciliation of Vendor Send Backs (returns to suppliers) to ensure inventory accuracy, financial recovery, and compliance with vendor agreements. The position also provides operational support to Vendor Buyers as workload allows, helping maintain smooth purchasing, receiving, and vendor account processes under the direction of the Vendor Category Manager. This is a highly detail-oriented, process-driven role that directly impacts inventory accuracy, cash recovery, and vendor performance.
Specific Job Duties:
- Primary: Identifying product eligible for vendor return (damaged, expired, defective, overstock, recalls.
- Verifying return authorization (RMA) requirements with vendors
- Creating and maintaining vendor return documentation
- Coordinating physical return shipments with the warehouse and carriers
- Ensuring returned products is properly removed from inventory
- Tracking shipments until vendor receipt is confirmed
- Monitoring vendor credits and reconciling against invoices
- Following up with vendors to ensure timely credit issuance
- Escalating discrepancies or delays to the Vendor Category Manager
- Maintaining audit-ready records of all send-back transactions
- Assisting with purchase order creation and maintenance
- Monitoring open orders and vendor confirmations
- Tracking backorders, shortages, and delivery delays
- Supporting discrepancy resolution
- Maintaining vendor master data (pricing, lead times, minimums, etc.)
- Preparing reports for the Vendor Category Manager
- Supporting category-level projects and process improvements
- Perform all other tasks assigned by Threshold Management
Minimum Qualification Required:
- Detail orientated
- Strong communication skills
- Ability to multi-task while continuously meeting deadlines
Skills and/or Training Desired:
- Desktop applications: Excel, Word, Outlook, enterprise-level ERP software experience like Navision.
