Job Title: Admin IV | Shift: 1st | Pay Rate: $19.50




Job Overview

As an Admin IV, you will be an essential part of our administrative team, providing high-level support to ensure smooth and efficient operations within the organization. The ideal candidate will be highly organized, detail-oriented, and possess excellent communication and problem-solving skills.




Responsibilities:
  • Manage executive calendars, including scheduling appointments, meetings, and conference calls.
  • Coordinate travel arrangements, including flights, accommodations, and transportation, for executives and other staff as needed.
  • Prepare and distribute internal and external correspondence, including emails, memos, and reports.
  • Serve as the primary point of contact for incoming calls and visitors, providing exceptional customer service and directing inquiries to the appropriate personnel.
  • Organize and maintain physical and digital filing systems, ensuring accuracy, accessibility, and confidentiality of documents.
  • Assist with the preparation and distribution of meeting agendas, materials, and presentations.
  • Take meeting minutes and follow up on action items as necessary.
  • Coordinate logistics for company events, including venue selection, catering, and guest accommodations.
  • Assist with special projects and initiatives as assigned by management.
  • Provide administrative support to various departments as needed, including data entry, document editing, and office supply management.




Qualifications:
  • Proven experience as an administrative assistant or similar role, with at least experience in progressively responsible positions.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software applications.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Excellent written and verbal communication skills, with a keen eye for detail and accuracy.
  • Ability to handle confidential information with discretion and professionalism.
  • Demonstrated problem-solving abilities and a proactive approach to resolving issues.
  • Strong interpersonal skills with the ability to interact effectively with individuals at all levels of the organization.
