Job Essentials:

- To greet every caller of Metrie EL & EL as a welcome guest.

- To ensure that all calls are efficiently distributed.

- To ensure top quality phone service is always demonstrated.

- To assist in Inside Sales Activities in administrative duties such as printing orders to be sent to outside departments.

- Sends and ships all orders to go UPS/FEDEX/USPS.




SHIFT: 8AM-5PM

PAYRATE: $18HR




REQUIREMENTS

Education:

Required: High School Diploma.




Preferred: High School plus additional training in office administration.

Experience:

A minimum of 2 years office administration and telephone receptionist duties.

Skill, Knowledge & Abilities:

Knowledgeable in general office procedures.

Ability to work independently.

Must genuinely like people and be customer service oriented.

Basic computer knowledge with familiarity with Microsoft Office.

Ability to use multiple line phone system with proper phone etiquette.

Must be able to communicate clearly.

Must have good writing skills with the ability to generate correspondence.

Analytical skills related to business practices and procedures in general use.

Ability to read and interpret instructions and do computer data entry.




Mental:

Requires writing skills on a business level.

Ability to problem solve on a daily basis.

Ability to coordinate numerous activities at the same time.

Requires communication skills, especially telephone usage skills.

Requires ability to communicate with clients in difficult or unusual circumstances.




Working conditions:

Climate controlled office environment.




RESPONSIBILITIES AND DUTIES

Greet all incoming calls in a professional, friendly tone of voice. Handle each call by requesting appropriate information to deliver the calls to the proper person. When necessary, take accurate and detailed messages and transfer each in a timely manner.




Greet all visiting guests upon arrival to the office. Get visitor s name and company. Inquire about whether or not they have a scheduled meeting and with whom they are to meet with. If they are a walk-in, question the visitor s purpose for the visit and transfer any information to the appropriate member.




To address all incoming and outgoing packages via UPS/FEDEX/USPS to apply charges to P.O.S. When using these outgoing carriers.




To print, staple, and send orders out to Trim/Jamb/Units Departments.




To distribute customer literature needs, i.E. Brochures, price books, price updates.




To make Bin Tags for customers with stocking programs (Outside sales representative will send stock order copy over to receptionist to make tags for all items to be stocked at customer s facility).




To take care of warehouse tags for product organization (uses excel to produce tags needed by jamb and trim department).




To keep old purchase orders organized and filed.

Labels the entire days orders by date, places them in the months bin to be kept outside.

Purchase orders are kept up to six months.




Checks Sales Order Viewer near the end of the day to make sure no purchase orders shipping next day are pending in the Queue.



Maintain a clean and neat atmosphere in the lobby/office area at all times.




Receive all mail, and hand delivered items, sort and distribute.




Update the voice mail system when necessary, by changing after-hours greetings.




To inventory and order office supplies when requested.




To check printer, copier, faxes periodically to refill paper, or toner.




To assist the Inside Sales Manager when assigned.




To distribute all messages left in the voice mail system during the previous night or weekend to the appropriate people.




Type letters and other correspondence as requested by the Owner or VP/General Manager.




To complete other tasks as assigned by Supervisor.
